ABOUT PANAMA CITY SYMPHONY:
The Panama City Symphony is committed to presenting excellent live symphonic music, engaging and educating audiences of all ages. With an annual audience of over 8,000 people, the orchestra presents a season comprising 8 symphonic concerts, 10 chamber concerts, multiple fundraising and special events, and offers 6 distinct music education programs serving over 3,000 students. Collaborating with international guest artists and area musicians, the orchestra enhances the cultural impact of the arts within a sustainable financial structure. In the 2025-2026 season, PCS will celebrate its 30th anniversary, continuing to produce concerts, intimate ensemble performances, fundraising galas, events, and a variety of music education and outreach programs, all aimed at enriching the community’s cultural landscape. CENTRAL ROLE OF PATRON SERVICES ASSOCIATE
Panama City Symphony (PCS) seeks a Patron Services Associate (PSA) to deliver top-tier, personalized service to our loyal patrons. This role includes ticket sales, responding to program inquiries, and ensuring a welcoming patron experience. The PSA will work with limited supervision at the PCS office and events, maintaining a 20-hour weekly schedule with adjustments for evening and weekend commitments.

PATRON SERVICES ASSOCIATE: KEY RESPONSIBILITIES
- Patron Communication & Customer Service:
- Respond to all patron inquiries promptly and professionally via phone, text, and email.
- Provide exceptional customer service in all interactions, ensuring a positive patron experience.
- Assist patrons with ticket purchases, subscriptions, and exchanges through various channels (in-person, phone, email, online).
- Serve as the primary phone contact during office hours and at events.
- Build and maintain strong patron relationships.
- Ticketing & Database Management:
- Manage the PCS Season Subscription Spreadsheet.
- Utilize the PCS ticketing database (likely Eventbrite) effectively:
- Create and manage events.
- Manage seating charts.
- Process transactions.
- Maintain accurate patron information.
- Transfer patron information regularly to Constant Contact for marketing and communication.
- Administrative & Operational Support:
- Provide general operational and administrative support as needed.
- Organize and manage PCS files on Google Workspace.
- Assist with the management of Zeffy, the PCS online fundraising platform.
- Prepare documents for meetings.
- Create QR codes for events and programs.
- Set up Zoom links for Board of Directors meetings.
- Maintain effective communication with the Board of Directors as requested.
- Maintain thorough knowledge of PCS programming, performances, and educational programs.
- Team Collaboration & Positive Environment:
- Collaborate effectively with team members, directors, and other key contacts.
- Contribute to a positive and productive PCS environment.
- Adaptability & Other Duties:
- Perform other duties as assigned.
- Adapt to evolving organizational needs and changes in responsibilities.
PATRON SERVICES ASSOCIATE: REQUIREMENTS
- Experience & Skills:
- Customer Service: Minimum 2 years of experience in ticket office or direct customer service roles.
- Communication: Excellent verbal and written communication skills.
- Computer Proficiency:
- Proficient with Microsoft Office Suite (Word, Excel, etc.)
- Proficient with Google Workspace (Gmail, Docs, Sheets, etc.)
- Ability to effectively use and troubleshoot Apple/Mac computers.
- Organizational Skills: Strong attention to detail and excellent organizational abilities.
- Problem Solving: Self-starter with proven ability to be creative, flexible, resourceful, and solve problems efficiently.
- Availability & Physical Requirements:
- Hours: Approximately 20 hours per week.
- Schedule: Mandatory weekend and evening availability for on-site support at concerts and events.
- Physical Demands:
- Ability to sit for extended periods (up to 4 hours) and stand for up to 1 hour.
- Ability to lift and carry up to 35 pounds unassisted.
- Comfortable working at a computer workstation for extended periods.
- Other Requirements:
- Transportation: Valid driver’s license and ability to use personal vehicle for errands (proof of auto insurance required).
- Professionalism: Positive and professional demeanor in face-to-face customer interactions.
PREFERRED QUALIFICATIONS (APPLICANTS WITH THE FOLLOWING WILL BE GIVEN PREFERENCE):
Technical Skills & Software Experience:
- Proven proficiency with Eventbrite or similar CRM/Ticketing Platform
- Prior experience with Constant Contact
- Microsoft Excel Certifications and/or proven proficiency in maximizing use of Excel
- Google Workspace Administrator Certification and/or proven proficiency in maximizing use of Google Workspace
Knowledge & Passion:
- Arts/Theater/Symphonic Music Knowledge
- A passion for and knowledge of symphonic music, coupled with a strong desire to share this appreciation with others
